Terms & Conditions
By placing a booking with us (the property owner / his / her representative) you (the lead guest) and your booking party (guests) agree to the following terms and conditions as set-out. During your stay, you agree to abide by the subsequent conditions as set-out. If you have any questions about booking with us, please contact us before making a booking.
BOOKING
To place a booking with us the lead guest must be at least 18 years of age.
Where the person making the booking is different to the lead guest taking up the occupation, the person making the booking may be held responsible for cancellation, non-arrival and damages as set-out within.
Only the lead guest and the named booking party are allowed to use the property and its facilities, any third party visitors are only allowed access at our express permission.
To secure any booking we require payment to be made in full at time of booking.
Payments must be ‘cleared funds’ before a booking can be confirmed.
Payments can be made online using debit or credit cards.
The guest agrees to pay the full cost due to negligence causing loss or damage to the accommodation, equipment or any outside furniture.
DEPARTURE/ARRIVAL & OTHER KEY POINTS
In Summer we accept two night stays up to full weeks, Other times of year we accept three night stays up to full weeks. The check-in time is from 3pm and the checkout time is 10am. An early check-in from 1pm or checkout from 12pm may be available at an extra cost. You must check with the us to confirm this is available.
The accommodation is to be used for holiday purposes only and by the persons named on the booking form only.
Electricity, water, bed linen, towels, wi-fi and Hot Tub use. A full inventory of furnishings and equipment available on request.
We reserve the right to refuse a booking or to repossess any of the accommodations where damage has been caused or, in our opinion, is likely to be caused by the hirer or a member of the hirer’s party.
Vehicles and their accessories and contents are left at their owners risk.
We reserve the right to enter the accommodation at all reasonable times for the purpose of inspection or to carry out necessary repairs etc.
Guests are requested to stay within the grounds of Hillhead Hideaways glamping site. The surrounding outbuildings/fields must not be entered.
CANCELLATION, RETURNED DEPOSIT & NON-ARRIVAL CONDITIONS
- A booking may be refunded or dates of stay changed free of charge 14 + days before check-in.
- Between 14 days and 7 days before check-in, a change of dates can be offered free of charge, however, no refund will be offered.
- We Regret that no refunds or date changes can be offered 7 days prior to guests arrival.
- Non-arrival guests, who are unable to attend or fail to attend for whatever reason forfeit their monies paid.
We suggest that you take out suitable travel insurance in the event that you need to cancel your stay. If we need to cancel your stay for any reason outside our control, we will offer you an alternative stay.
**Group Bookings (More than 1 pod booked)
- A Group booking may be refunded or dates of stay changed free of charge 21 + days before check-in.
- Between 21 days and 14 days before check-in, a change of dates can be offered free of charge, however, no refund will be offered.
- We Regret that no refunds or date changes can be offered 14 days prior to guests arrival.
We suggest that you take out suitable travel insurance in the event that you need to cancel your stay. If we need to cancel your stay for any reason outside our control, we will offer you an alternative stay.
***Coronavirus COVID-19
- In the event that we have to temporarily close the glamping site due to local, national or site specific lockdown, we cannot provide a refund. Instead we will offer you alternative dates and help you to rearrange your holiday with us to another date.
We recommend you take out suitable travel insurance cover if you are unable to travel due to illness.
DAMAGES AND LOSS DEPOSIT
All persons booking with us must be prepared to pay for any damages caused by them.
We reserve the right to charge the lead guest for any damages caused through the course of a booking by any member of the booking party, the monies will be taken from the bank card used to pay the deposit. This includes breakages, spillages, stains, damage to furniture or fixtures and fittings. Any accidental damages should be reported as soon as possible in order to minimise damage and associated costs. Lost keys will incur a replacement charge per key lost.
Clothing/ bedding/ material must not be hung over any radiator/heater or tv. Where applicable nothing should be hung over or near the BBQ.
Allowing dogs into non-dog friendly accommodation (Meikle Balloch, Ben Rinnes, Ben Aigen) will result in an intensive cleaning charge of £100.
LOST PROPERTY
Any lost property, if discovered and found, left behind by guests during a stay will be held for a period of 1 month. While we will make our best efforts to reunite lost property with their owners we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belonging before checking-out. We may offer to post lost items via recorded delivery at the cost of the property owner, otherwise collection can be arranged.
WIFI FAIR & APPROPRIATE USAGE POLICY
We offer as a service to our guest free wifi access, Guests accept to use this access to the Internet fairly and appropriately. The Internet access provided is intended for light, general use such as access to the internet, email, messaging, social media e.g. facebook etc. Access to illegal activity or use of our network for illegal activity is prohibited and will be reported to local authorities. We may monitor network performance and user usage in order to maintain a fair and high level of service to all our guests.
BEDDING & TOWELS
The use of bedding, towels and bathrobes are provided within the tariff.
SMOKING / NAKED FLAMES / BBQ’S
Smoking of any product including but not limited to cigarettes, pipes, cigars or chewing tobacco is not allowed within any of the accommodations, in the doorway or on the decking at any time. Guests are free to smoke outside away from any accommodation and we provide plant pot ashtrays in the grounds for spent cigarettes. We will make a charge of £350 for intensive cleaning if there has been any smoking inside the property, in the open doorway or on the decking during your stay. We also reserve the right to curtail your booking, with no refund, if you smoke in any accommodation or open doorway.
No naked flames, candles, joss sticks, fireworks (Internal & External) and gas stoves are permitted inside any of the accommodations.
Use of Disposable or Portable BBQ’s must not be used on the wooden decking area (even if on a stand) we ask they are used well away from the accommodation. BBQ’s are never to be left unattended and must be extinguished after use.
Fireworks & Chinese Lanterns are prohibited at our site, This is both for the safety of guests and animals/livestock. Any guests breaking these rules will be asked to leave immediately.
HOT TUB
No glass is allowed to be used in and around the hot tub.
Great care needs to be taken when using due to risk of injury (see separate hot tub rules)
The cost of electricity, electric heating, hot water and starter pack of BBQ fuel is included in the rental price.
Clothing or material of any kind must never be hung or dried next to or on the BBQ as this represents a significant fire risk. Storage for clothes etc. is available using the clothes hooks/rail.
PETS / SERVICE DOGS
We allow 2 large or 3 small dogs or upto 2 cats within the Knockan Pod on a prior agreement at booking please tick the box when booking.
We only ask that you observe these rules to ensure the safety and well being of our guests and site.
- Only type of pets allowed are dogs or cats.
- Breeds on the dangerous dog list or fighting dogs are not accepted.
- Please bring your own pet bed, they will enjoy their stay more! Please also ensure you bring your own towels etc for cleaning and drying your pet.
- We know you love your pet but we ask that they are not allowed on the furniture and especially the bed unless throws are used.
- Dogs must be on a lead at all times when not in the enclosed garden. This is to ensure the safety of our livestock, children and guests roaming free range around the site. There is a field in front of the site that can be accessed from the bottom road dogs can be let off to run around if there is no livestock in the field.
- Please ensure that your pet is clean before entering the Pod.
- Petss should never be left alone in the accommodation, Hot Tub house or BBQ House.
- All pet waste must be scooped, bagged and disposed of in the external waste bin by the pet owner.
- It’s the owners responsibility to clean up after your pet inside and outside the pod.
- Please ensure that flea treatment is up to date before arrival.
- The interior and grounds must be left in a clean, undamaged condition.
- Any damaged or stains must be paid for in full.
PRIVACY POLICY
We take your privacy very seriously. Please see Hillhead Hideaways Privacy Policy regarding any data we collect directly from you. We use beds24 to manage our online booking process. We have a written contract with beds24 to ensure that they will process your data on our behalf in compliance with all applicable Data Protection Laws.
GUEST RESPONSIBILITY
All guests agree to respect the privacy and peace of all other staying guests, neighbours and the owners at all times. We reserve the right to cancel a booking with immediate effect if guests are not honouring this agreement or causing a disturbance / nuisance to other guests, neighbours or the owners.
Please keep the accommodation secure when unoccupied and return the key to the key safe box prior to leaving.
CCTV
A CCTV camera is installed on the site services shed which only captures the car park and rear areas, this is for security and health and safety purposes. Footage will only be accessed as and when required if any issues arise, and may be passed to the relevant authorities at their request.
PARKING
Where on-site parking is provided guests accept that they park their vehicles at their own risk.
ACCESS
The property owner, his/her representative, must be allowed access to the accommodation at any reasonable time for essential maintenance and to service the hot tub. Wherever possible prior arrangements will be made.
LIABILITIES
No liability is accepted in respect of loss or damage to the client or any member of the party, their baggage, car or contents, resulting from riot, war, strikes, adverse weather conditions or sickness or injury or for loss or damage by a third party. This does not exclude liability for the actions of employees, agents or subcontractors of ours as the accommodation owners. We strongly recommend that you take out your own holiday insurance cover
The contract of let is between the hirer and Hillhead Hideaways the owner of the accommodation.
ISSUES/ COMPLAINTS
We want you to have a fabulous time during your stay, any concerns or issues we ask you to raise them as soon as possible and we shall endeavour to make every effort to rectify any faults or make repairs to equipment as soon as possible. However, we cannot be held responsible for any such breakdowns or loss.
